PlainOps, in plain answers.
What PlainOps does, how the Xero connection works, and exactly where the boundaries sit. If anything here is unclear, that is on us — tell us and we will fix the wording.
What is PlainOps?
PlainOps is a read-only subscription-waste check for companies that run their accounting in Xero. You connect Xero through its official OAuth screen, and we turn your billing evidence — recurring vendors, renewal patterns, and amounts — into a ranked report of likely wasted spend. You approve any action; PlainOps changes nothing in your accounting.
Who is it for?
Lean finance and operations teams — founders, COOs, and finance leads — who suspect software and subscription spend is drifting but do not have time to comb through every line in Xero. It suits companies already on Xero who want a quick, evidence-led view before the next renewal.
How do we connect to Xero?
Through Xero’s official OAuth connection. You sign in on Xero’s own screen and approve read-only access. PlainOps never sees your Xero password, and you can revoke access in Xero at any time.
Do you see my Xero password?
No. Authentication happens on Xero’s own login screen via OAuth. No passwords are ever shared with PlainOps.
What access do you request?
Read-only accounting data only. PlainOps requests read permissions for bills, invoices, payments, vendors, and billing cadence. There are no write scopes — we cannot edit, create, or remove anything in your Xero.
Can PlainOps change, cancel, or pay anything?
No. PlainOps has no write access and no payment access. It cannot change your accounting, cannot cancel subscriptions, and cannot move money. It recommends; you decide and act.
What can and cannot PlainOps tell from Xero alone?
From Xero we can see billing evidence: which vendors recur, how often, and for how much. That is enough to surface likely recurring vendors and upcoming renewals. What Xero cannot show is seat-level usage or in-app activity — it cannot prove whether a licence is actually being used, or who logged in. That would need future SaaS admin integrations you approve separately.
How quickly do I get a report?
During the private beta, normally within 24 hours of connecting, subject to access and data quality. A real person reviews every report (human QA) before it reaches you, so timing can vary if your data needs a closer look.
Can I revoke access or delete my data?
Yes. You can revoke PlainOps’ access in Xero whenever you like, disconnect the app, and ask us to delete the data we hold. See our Privacy Policy for how data is handled and retained.
Is this accounting, legal, or tax advice?
No. PlainOps gives you evidence and candidate actions to help you decide. It is not financial, legal, accounting, or tax advice, and you remain responsible for any decision to cancel, keep, or change a subscription.
What we can and cannot see
We would rather be straight about the boundary. Xero accounting data is rich, but it has limits — so we tell you up front.
- ✓What Xero shows us: bills, invoices, payments, vendor names, amounts, and how often each one recurs (billing cadence). That is enough to surface likely recurring vendors and annual renewals.
- −What it cannot show: seat-level usage or in-app activity. Xero-only data cannot prove whether a licence is actually being used, or who logged in — that would need future SaaS admin integrations you approve separately.
